Genesee Survey Services, Inc. supports its client companies in using employee surveys to improve their work environments. In this capacity, Genesee collects the opinions of employees and then analyzes and prepares reports for the client company management. For surveys to be of value, employees must be willing to share their opinions openly and in order for them to share their opinions openly and constructively, the employees must know why the survey is being conducted, how their responses will be used and that their responses will remain confidential. To assure privacy, Genesee adheres to the following practices:
- The purpose of the survey is clearly stated either on the questionnaire or in associated communications inviting the individual to respond.
- Genesee subscribes to a policy of full disclosure. This means that all data that will be collected as well as the rules for protecting the anonymity of the individual are fully disclosed to the respondent. Each respondent voluntarily participates or chooses to opt out of answering individual questions or the questionnaire in total.
- Genesee and the client company agree in advance to share responsibility for protecting the privacy of the respondents and the role of each is fully disclosed to the respondent as part of the introductory material. This includes, where appropriate, identifying the country where the data will be stored.
- Surveys are designed so that only the information required for the effective use of the survey results or to facilitate efficient survey completion is collected.
- Sometimes information that could identify the individual (e.g. Employee ID) is used to facilitate completion of the survey or to allow the respondent to complete and return the survey later. Where this is done, this information is removed from all working files when the survey administration is completed.
- Genesee has established procedures for summarizing the data so that no individual or his/her response could be identified in a report. This includes, but is not limited to, requiring a minimum number of responses before a report can be issued or before additional cases can be added to an aggregate group, minimum sizes for demographic groups to be reported and minimum group sizes before reports can contain comments.
- Genesee respects the privacy of the each employee and the client companies it serves and takes every reasonable precaution to protect all data from external access (electronic and otherwise) with state-of-the-art equipment and technology.
- All Genesee employees sign an agreement of confidentiality stating that they will not disclose any proprietary or confidential information outside Genesee Survey Services, Inc. Consequences of violating this agreement may include termination.
- All vendors that might support Genesee in our work are required to sign privacy agreements with Genesee.
Genesee Survey Services, Inc. certifies that its privacy policy as described above is accurate, comprehensive, prominently displayed and circulated via our website, and completely implemented.
This policy conforms to the Safe Harbor Principles developed by the US Department of Commerce in consultation with the European Commission. Genesee Survey Services, Inc. agrees that any disputes regarding its privacy policies and related actions regarding data from Europe can be heard by the European Data Protection Authorities, and Genesee will be subject to the determinations of that body.
